Overview 


In response to the evolving needs of YXH Company Limited (YXH)) a comprehensive set of action items was executed in 2023 to revamp HR processes, enhance organizational efficiency, and promote seamless employee management. These initiatives were designed to improve the functionality of BambooHR and other systems, streamline personnel files, and establish robust protocols for onboarding and offboarding.


Completed Action Items


1. Employee Contract Management:

  • All employee contract materials were meticulously updated and stored on the server (Google) and BambooHR.

  • Personal information, contracts, and accrual details such as vacation and flex time were included.

2. Holiday Setup:

  • The 2023/2024 holidays were configured in BambooHR, providing clarity to employees about upcoming time off.

3. Organizational Chart:

  • A comprehensive organizational chart was created within BambooHR, offering a visual representation of the company's structure.

4. Benefits Information:

  • Employee benefits information, a critical aspect of HR, was added to both the server and BambooHR, with a specific contact person identified for inquiries (Benefits Contractor).

5. HRIS Enhancements:

  • Sections for Short-Term Disability (STD) and Long-Term Disability (LTD) tracking, as well as Progressive Discipline, were integrated into BambooHR.

6. Onboarding and Offboarding Protocols:

  • Basic onboarding and offboarding steps were established, ensuring a standardized approach to welcoming new hires and managing departures.

7. Email Alerts and Access Management:

  • Email alerts for managers were updated, and proper access to BambooHR was granted to all relevant parties involved in the onboarding/offboarding process.


Later Projects and Additional Tasks


1. Policy Implementation:

  • Initiatives such as implementing an Overtime Agreement upon hiring and establishing a transparent Payroll Deduction Form or Policy are set for future projects.

2. Data Consistency and Verification:

  • Procedures for maintaining congruency between payroll and BambooHR, along with the addition of terminated employees' file information, are targeted for future enhancements.

3. Documentation and Checklist Integration:

  • Incorporating documentation such as T2200 requirements and an asset inventory list into onboarding processes is on the horizon.

4. System Utilization and Confidentiality:

  • A concerted effort was made to ensure that all employees/contractors were added to BambooHR for streamlined communication and organizational structure visibility.

5. Data Security and Access Control:

  • Confidentiality concerns led to changes in Google access levels, aligning roles and delegates with the organizational chart and directives from leadership.

Results and Impact


The successful completion of these action items has led to a more organized, efficient, and transparent HR system at (YXH). The integration of BambooHR to its full capabilities, along with the establishment of standardized processes, has positioned (YXH) for continued success in managing its workforce effectively.
